Privacy Policy
Privacy and discretion matter to us.
1. Who we are
Reign Transportation provides private chauffeur, airport, corporate, VIP, event and school transport services in the Netherlands. For the personal data described in this Privacy Policy, Reign Transportation acts as the controller unless another arrangement is expressly stated.
Current contact and business details are published on the official Reign Transportation website. A postal address may be added to this Privacy Policy when available.
2. Personal data we may process
Depending on the service, we may process:
- name, address and contact details;
- booking, route, collection and destination information;
- dates, times, flight details and travel preferences;
- passenger numbers and luggage information;
- invoicing and payment administration;
- communications with customers, parents, guardians, schools or authorised contacts;
- for school transport, a child’s name, school, route, schedule, authorised handover contacts and information reasonably necessary for safe transport;
- technical website information such as IP address, device or cookie data where applicable.
We do not request more personal data than is reasonably necessary for the relevant purpose.
3. Why we use personal data
We process personal data where necessary to:
- prepare quotations and conclude or perform transport agreements;
- plan, coordinate and safely provide journeys;
- communicate about bookings, delays, changes, pickups and drop-offs;
- administer invoices, payments and accounts;
- manage customer service, questions and complaints;
- meet legal, tax, accounting, insurance or regulatory obligations;
- protect passengers, drivers, vehicles and our legitimate business interests;
- improve our services and website where lawfully permitted.
The legal basis may be performance of a contract, steps taken before entering a contract, compliance with a legal obligation, a legitimate interest or consent where consent is required.
4. Children and school transport
School transport may require us to process personal data relating to children. We limit this information to what is reasonably necessary for transport planning, identification, communication, safety and authorised handover.
Parents or guardians are responsible for providing accurate information and for informing us of relevant changes. Where consent is the appropriate legal basis for processing a child’s data, we will obtain or verify the required consent in accordance with applicable law.
5. Sharing personal data
We may share personal data only where reasonably necessary with parties involved in providing or supporting our services, such as authorised drivers, transport partners or subcontractors, payment or accounting providers, IT and hosting providers, insurers, professional advisers, schools or authorised contacts where appropriate, and public authorities where legally required.
We require service providers that process personal data on our behalf to handle it appropriately and in accordance with applicable data protection requirements.
We do not sell personal data.
6. International transfers
If a service provider processes personal data outside the European Economic Area, we will use a lawful transfer mechanism and appropriate safeguards where required by data protection law.
7. How long we keep personal data
We keep personal data only for as long as necessary for the purposes for which it was collected and for any applicable legal, tax, accounting, insurance or dispute-resolution obligations.
Different categories of data may therefore have different retention periods. When data is no longer required, it will be deleted, anonymised or otherwise handled in accordance with applicable law.
8. Security
We take reasonable technical and organisational measures designed to protect personal data against loss, unauthorised access, alteration, disclosure or misuse. No electronic system is completely risk-free, but we review safeguards appropriate to the nature of the information we process.
9. Your privacy rights
Subject to the conditions and exceptions in the GDPR and applicable Dutch law, you may have rights to request access to your personal data, correction, deletion, restriction of processing, data portability and objection to certain processing.
Where processing is based on consent, you may withdraw that consent at any time without affecting the lawfulness of processing before withdrawal.
Requests can be submitted using the contact details published on the Reign Transportation website. We may request information reasonably necessary to verify identity before acting on a request.
You also have the right to lodge a complaint with the competent data protection authority, including the Dutch Autoriteit Persoonsgegevens where applicable.
10. Cookies and website technology
The website may use cookies or similar technologies that are necessary for operation. Analytics, preference or marketing technologies will be used only in accordance with applicable rules, including consent requirements where these apply. More detailed cookie information may be provided separately on the website.
11. Live location and communications
Where live location or journey updates are used for a transport service, they are used for operational, communication or safety purposes and are shared only with appropriate recipients. We do not use live location information for unrelated purposes.
12. Changes to this Privacy Policy
We may update this Privacy Policy when our services, technology, legal requirements or data practices change. The current version published on the website will state the applicable version or update date.
13. Contact
For privacy questions or requests, contact Reign Transportation using the current contact details published on the official website.
